Privacy Policy
1. Who we are
COMMS is operated by Readypart Limited at PO Box 276036, Manukau, New Zealand. Privacy enquiries can be sent to z@prvt.co.
2. What information we collect
We collect the information needed to create and operate your account, such as your name, email address, login and account details, team/group membership, messages and content you choose to share, and basic technical or security logs needed to operate and protect the service.
A team owner or leader may also provide your name or contact details when inviting you to a team. We use this information to manage the invitation and, where required by law, to tell you about that collection.
Account details needed to run COMMS must be provided to use the service. Optional content is your choice, but features that depend on that content may not work without it.
We also receive support messages, submitted feedback and optional company information such as location and industry. Enabling notifications involves storing delivery identifiers for your preferred installation.
When you agree to our terms and privacy policy, we record your account identifier, the acceptance time, the document versions and their verification hashes. We retain the corresponding policy text as a record of what you agreed to.
3. How we use information
We use information to create accounts, deliver team messages, manage team access, maintain and improve service operation, prevent misuse, provide support and comply with applicable law.
Advertising is not currently active and the optional device-location feature is disabled. Company location and industry information may be combined into audience statistics for potential advertisers. We will explain any new advertising-related personal information use before introducing it and seek permission where required.
4. Who can see information
Your profile information, membership and communications may be visible to other COMMS users according to the teams, groups and permissions you participate in. Team owners and authorised leaders can manage access within their teams. COMMS personnel and service providers may access information only as needed to operate, support, secure or lawfully administer the service, subject to appropriate controls.
Group conversations are visible to people with the relevant group access, including company admins. Private chats are accessible through the app only to their participants; company admins have no private-chat override. Support conversations are available to the requesting user and authorised COMMS support operators.
We may share information when required by law. If we use service providers outside New Zealand, we will address applicable New Zealand privacy requirements for overseas disclosures.
5. How we protect information
COMMS uses HTTPS to encrypt data sent between users and the live service. Message, support, feedback and Group Info text, together with uploaded images and logos, are encrypted in server storage. Account details and membership metadata are not covered by this content encryption.
The service holds the keys needed to deliver content to authorised users. Authorised server operators can technically access stored content when necessary to operate, support, secure or lawfully administer COMMS. No online service can guarantee that unauthorised access or data loss will never occur.
6. Retention and leaving COMMS
A daily cleanup removes messages older than 90 days from when they were sent, including group, private and COMMS Support messages, their attachments and Seen receipts. Messages may remain briefly until the next cleanup. Pinning a message does not extend its retention. Newer replies can remain after an original message is removed.
Group Info panels, company logos, accounts and memberships are not removed by the message cleanup. Group deletion can remove related content earlier. Backups may retain older information separately.
Leaving a team is not the same as closing your account. Previously sent messages can remain available to authorised participants until deleted or expired. Copies saved by other users are outside our control.
Contact z@prvt.co to request account closure or deletion of personal information. We may need to verify your identity and assess information that must be retained under applicable law. The 90-day message rule is not a promise to erase all account data or backups within 90 days of closure.
COMMS is not a permanent archive. Keep separate copies of important records.
7. Access, correction and privacy concerns
You can request access to personal information we hold about you, ask us to correct it, or raise a privacy concern by contacting z@prvt.co. We will respond in accordance with New Zealand privacy law. Where required by law, we will notify affected people and the relevant authority about a notifiable privacy breach.
8. Policy changes
We may update this policy to reflect changes to COMMS or the law. Material changes will be communicated to users where appropriate.
